Assign and exempt unidentified miles

This article describes how to perform the following tasks using the Unidentified Miles tab under LogBook:

View unidentified miles

Unidentified miles are driving events that your vehicles have recorded but that have not been assigned to a designated driver.

You can view a list of unidentified miles on the Unidentified Miles tab under LogBook.

The Unprocessed events tab lists driving events that have not been assigned to a driver yet. The Processed events tab lists events that have already been assigned to a driver or that do not need to be assigned. Processed events can no longer be modified.

The lists show the following information:

  • Start Date: The date and time when the unidentified event started
  • End or Current Time: The time when the unidentified event ended or, if the event is still ongoing, the current date and time
  • Engine hours: The time that the engine was running during the unidentified event
  • Status: The HOS status of the unidentified event. This is usually Driving.
  • Vehicle: The name of the vehicle that recorded the event
  • Miles: The miles driven during the event
  • Location: The start and end location of the event
  • Edit icon or Information icon: On the Unprocessed events tab, you can edit the event. On the Processed events tab, you can only view the event, not edit it.

Assign a driver to an unidentified driving event

Follow these instructions to assign a driver to an unidentified driving event:

  1. Go to the LogBook screen.
  2. Choose the Unidentified Miles tab.
  3. Make sure you are on the Unprocessed events tab.

  4. Optionally, use the filter to select a fleet and data range to narrow down the list of unidentified driving events.
  5. Find the driving event you want to assign, and click on the pencil icon next to it.
  6. In the dialog box, select a status, if applicable, and a driver.

  7. Optionally, add a comment.
  8. Click Propose To Driver. The unidentified driving event is moved to the Processed events tab and displayed in the ELD LogBook mobile app for the proposed driver, waiting for approval. The driver can accept or reject the driving event in the app. If the driver accepts the driving event, it remains in the Processed events tab for a short time and is then removed. If the driver rejects the driving event, it is moved back to the Unprocessed events tab.

    Rejected events can be reassigned by following the same steps as described above. Rejected events include information about the previous assignment, as you can see in the screenshot below:

Exempt an unidentified driving event

Follow these instructions to exempt an unidentified driving period because it does not need to comply with ELD regulations:

  1. Go to the LogBook screen.
  2. Choose the Unidentified Miles tab.
  3. Make sure you are on the Unprocessed events tab.

  4. Optionally, use the filter to select a fleet and data range to narrow down the list of unidentified driving events.
  5. Find the driving event you want to exempt, and click on the pencil icon next to it.
  6. Do not select a driver from the drop-down list. Keep the Driver field empty.
  7. In the dialog box, add a comment.

  8. Click Mark As Done. The unidentified driving event is moved to the Processed events tab.
