Bulk uploading of fuel cards assignments

Use the IMPORT CARDS button to bulk upload your fuel card IDs and assign them to vehicles all at once.
Note: The bulk upload option only adds new assignments, it cannot reassign or edit existing assignments.
You can only reassign and edit assignments from the Fuel Card ID assignment page.

You can also use this option to update or add vehicle information. Adding vehicle details will enhance your Fuel Reports and Dashboards.
Note: You can only update the vehicle fields using the Excel XLS file. This feature is not available with CSV files.

To bulk upload fuel card IDs and update vehicle information, do the following:

1. From the Fuel Card ID assignment page, choose IMPORT CARDS.
   
   
   
   
2. On the Import page, choose the FUEL CARD TEMPLATE button.
   An Excel XLS file, called Reveal fuel card import, is downloaded to your computer.
   If you do not have Excel, you can download the file in CSV format.
   
   
3. Update the file with the required information.

   The Excel XLS template has two sheets:

   • Fuel card assignments
   • Vehicle Information

   The Fuel card assignments sheet has the following columns:

   • Vehicle Name
   • Provider account number
   • Fuel card number (last x digits)
   • Start date

   Note: If there are any leading zeros in the Fuel Card Number cell, an error will display. You can ignore this message.

   
   

   The Vehicle Information sheet has the following columns:

   • Vehicle Name
   • Fuel Type
   • Highway
   • City
   • Tank Capacity
   • Year
   • Make
   • Model

   If you have existing assignments, the template will be pre-populated with the following information:

   • Existing assignments
   • Vehicle names
   • Account number (if there is only one account)
   • Start date
   • Vehicle data for vehicles already added (Vehicle information sheet)

   Note:

   • Changes to existing fuel card assignments will be ignored.
   • The start date cannot be a future date - use today’s date or a date in the past.
   • You cannot add new records in the vehicle settings sheet.
   • You cannot edit the vehicle name column on the Vehicle Settings sheet.
   • The Tank capacity, Highway, City and Year fields can only contain numeric values.
   • You can only update the vehicle fields on Vehicle Settings sheet.
   • If you delete the data from the vehicle information sheet and upload the file, it will also delete that information in Reveal.
4. When you have entered the required information, save the file then choose UPLOAD.
   Once uploaded, a success message containing a link to view the imported cards displays.
   
   
5. To see the added cards, choose VIEW IMPORTED CARDS.
   (To see the uploaded Vehicle details, navigate to the vehicle model from the Admin page.)
