Bulk uploading of fuel cards assignments

You can bulk upload your fuel cards and assign them to vehicles all at once. You can also update or add vehicle information to enhance your fuel reports and dashboards.

Note: The bulk upload option only adds new assignments, it cannot reassign or edit existing assignments.

To bulk upload fuel cards and update vehicle information, follow these steps:

Step 1

  • Go to Admin > Integrations.
  • Find the relevant fuel provider.
  • Click MANAGE.

OR

  • Go to Marketplace.
  • Select the relevant fuel provider.
  • Select MANAGE INTEGRATION.

Step 2

  • Select GO TO IMPORT CARDS.
  • On the Import page, select DOWNLOAD EXCEL TEMPLATE. An Excel XLS file, called Reveal fuel card import, is downloaded to your device.
    • If you do not have Excel, select Download CSV template.
Note: you can only update vehicle fields using the Excel XLS file format.

Step 3

Update the file with the required information.

The Excel XLS template has two sheets:

  • Fuel card assignments
  • Vehicle information

The Fuel card assignments sheet has the following columns:

  • Vehicle name
  • Account number
  • Fuel card number (last 1-5 digits)
  • Start date (a past date or today’s date)

Note: If there are any leading zeros in the fuel card number cell, an error will display. You can ignore this message.

The Vehicle information sheet has the following columns:

  • Vehicle name (not editable)
  • Fuel type
  • Estimated highway MPG*
  • Estimated city MPG*
  • Tank capacity*
  • Year*
  • Make
  • Model

*Enter numeric values only.

In the Vehicle information sheet, you:

  • Can delete records
  • Cannot add new records
  • Can only update the vehicle fields

If you have existing assignments, the template will be pre-populated with the following information:

  • Existing assignments
  • Vehicle names
  • Account number
  • Start date
  • Vehicle data for vehicles already added

Note: Changes to existing fuel card assignments will be ignored.

Step 4 (optional)

To view added cards, go to Admin > Integrations and select the fuel card provider.

To view vehicle details, go to Admin > Vehicle List and select the vehicle model.
