This article describes how to manually upload your fuel purchases in Reveal using the Import Fuel Purchases wizard. Fuel purchase data is used for generating Fuel reports, and can be viewed on the Fuel Purchases screen.
Before you import your file, see Preparing your import file.
The steps for uploading fuel purchases are as follows:
Once you have successfully uploaded a fuel purchase file into Reveal, you can View imports and formats.
-
In the upper right corner of the screen, click your user icon, and then select "Admin".
-
In the Fuel Card section, click Upload Fuel Purchases.
-
On Fuel Imports screen, click BULK IMPORT.
-
Click SELECT FILE.
-
Select the Excel or CSV file you want to import.
-
Click NEXT.
You can choose a provided format, or create your own and save it. The next time you run the the Import Fuel Purchases wizard, you will be able to choose this saved format, create a new format, or use the provided format.
-
Select an option from the Select your format drop-down menu. You can choose a standard format such as "csv", or create your own format if the provided format does not suit your needs. If you create your own format, do the following:
-
Enter a name for your format. Do not use any special characters in the name.
-
Select a region from the Region drop-down list.
-
Select the My file has column headings check box, if applicable.
-
Choose a format for the date and time. If your file has a different format to those listed, you will need to edit the file, save it, and then re-upload it. To do this, click the Import Fuel Purchases breadcrumb at the top of the screen, click CANCEL IMPORT, and then re-upload your edited file.
-
-
Click NEXT.
Match the columns from your imported fuel purchase file to the existing Reveal labels. These settings will be saved in the format you are creating.
-
Match your file’s columns to their corresponding Reveal labels using the COLUMN FROM YOUR FILE drop-down menus. If your file contains column headers, these are listed in the drop-down menus. If not, the column position (Column A, Column B, Column C, for example) is listed.
-
Select the My file has a Place ID column check box, if applicable. This adds a Place ID row to the Location section. Read more about using Place IDs in your fuel import files.
-
Click NEXT.
If your file contains rows that Reveal could not process, you can manually fix them.
-
Click in a field that contains an error, and enter the correct value.
-
Once you have fixed all errors in a single row, click FIX ERRORS. Reveal then re-checks the row.
-
To finish the import without fixing the errors, click IGNORE ERRORS.
-
To cancel the import, CANCEL IMPORT.
Bulk fuel imports that you have completed, and formats that you have created, are listed on the Upload Fuel Purchases screen > Fuel Imports and Formats tabs.
On the Fuel Imports tab, you can view details of your most recent fuel imports, or download the imported Excel or CSV file.
On the Formats tab, you can view or delete your saved formats. You can reuse these formats for future fuel purchase imports.
